NIH Proposal Samples
Gordon Research Conferences' deadline to receive NIH proposals is detailed within the Conference Planning Calendar. The deadline is required by GRC in order to manage our work-flow in the months leading up to the meeting. The National Institutes of Health has awarded Gordon Research Conferences more than a million dollars annually during the last five years and GRC encourages you to submit a proposal if your conference furthers the goals of NIH.
This page contains information on the NIH Grants.gov proposal requirements, samples and instructions put together by GRC to assist you in the proposal and submission processes. Proposal Requirements
- The NIH now requires that all proposals be submitted electronically through the Grants.gov web site. No paper submissions are permitted. NIH Grants.gov Application Instructions can be downloaded from this page.
- A Letter of Intent is required by many, if not all, NIH Institutes prior to submitting a proposal. You must contact the Program Official or Institute Contact at NIH to confirm a specific deadline for the Letter of Intent to be submitted.
- Prior to beginning an NIH Grants.gov Application, you must contact a Program Official or Institute Contact at NIH to receive a "permission to submit letter". NIH will not accept your proposal without this letter. A listing of NIH Institute Contacts may be found at this page on the NIH web site, then by clicking on the "contacts list" link. You may contact these individuals by phone or email to discuss submitting a proposal and to request a Permission to Submit Letter. Again, many NIH Institutes require a Letter of Intent from the PI prior to submitting a proposal (see Item #2 above).
- NIH has certain review criteria it considers during a proposal's review process (NIH Statement on Their Review and Selection Process). Please review this information prior to completing the proposal. You may want to contact the Institute Contact with any questions you may have regarding this information.
- Your proposal will include specific budgetary information. A Budget Justification Template is available that includes the wording/format GRC requires be used. You will need to update the figures and amounts for your specific conference.
- You must address the issue of the "Inclusion of Women, Minorities and Persons with Disabilities in NIH-Supported Conference Grants" (see this web page for more specific information) within the project description:
NIH affirms that the value of scientific meetings is enhanced by including participants from all segments of the scientific population and, when appropriate, members of the lay community, in both the planning and conduct of such meetings. The adequacy of plans to include women, minorities and persons with disabilities in the planning and execution of a scientific meeting or conference is important to its success and relevance and will be assessed.

- The NIH Grants.gov Application has specific requirements that must be met in order to submit the proposal. These requirements are outlined in our NIH Grants.gov Instructions Document. It is important that you review this information before you try to open the application package and complete the proposal.

- NIH Grants.gov Application Package
This is the electronic application file you are to complete if you are submitting a proposal to NIH. Please note: the file will need to be forwarded to you via email from your GRC Grants Contact. The GRC data has already been inserted and should not be changed.
Submission Process
GRC will submit the completed proposal application to NIH via Grants.gov on your behalf. In order for GRC Staff to review your completed proposal application and submit it by the NIH deadline, please forward the completed application package to your GRC Grants Contact no later than the GRC Submission Deadline. Application Packages received after the GRC Submission Deadline will not be processed.
